Facilities & Office Services Manager
Hirschler is seeking an experienced and service-driven Facilities & Office Services Manager to oversee the daily operations of our physical workspaces and office services across our Richmond, Fredericksburg, and Tysons offices. This role is critical to ensuring our attorneys and staff work in a safe, efficient, and well-supported environment.
Reporting to the Director of Operations, this position blends facilities management, project coordination, vendor oversight, and people leadership in a fast-paced professional services setting.
Key Responsibilities
- Oversee daily facilities and building operations across all firm locations to ensure safe, functional, and professional workspaces
- Manage office services functions including mail, copy/print, supplies, shipping, and document services
- Serve as the primary liaison with landlords, property managers, and building engineers for maintenance and repairs
- Coordinate space planning, office moves, renovations, and new hire workspace setups in partnership with HR and IT
- Administer building access, security protocols, parking, and emergency preparedness
- Manage vendor relationships, contracts, purchasing, and invoice approvals for facilities and office services
- Track expenses, assist with budget management, and identify cost-saving opportunities
- Supervise and develop office services staff, providing training, guidance, and performance feedback
- Communicate operational updates clearly and support firmwide events and initiatives
Requirements:
- 5+ years of progressive experience managing facilities and office services in a law firm or professional services environment
- Proven leadership and staff supervision experience
- Strong project management, vendor negotiation, and budgeting skills
- Knowledge of building systems, space planning, office equipment, and lease coordination
- Exceptional organization, communication, and problem-solving abilities
- High level of professionalism, confidentiality, and sound judgment
- Proficiency in Microsoft Office; experience with facilities or project management software a plus
- Ability to work onsite in Richmond, VA, Monday–Friday from 9am-5:30pm, with occasional travel to other offices
- Ability to lift up to 50 pounds and assist with hands-on operational tasks as needed
